Terms & Conditions for Letting and Touring
Self Catering Caravans and Holiday Lodges
- Bookings and deposits. We require payment in full in advance for any stay in one of our letting units. You can either pay in full at the point of booking or, where the cost of your holiday is more than £200 and where you are booking a holiday whose start date is more than 6 weeks away, you can if you prefer pay a deposit of £200 at the time of booking with the balance payable 4 weeks before the scheduled start date. In this case an admin fee of £5.00 will be added to the booking total.
- Minimum / maximum stay. There is no minimum stay in our Wigwam. In our Bothey the minimum stay is 2 nights and, in our letting vans, it is 3 nights. Maximum stay is 14 nights.
- Cancellations. We do not offer cancellation insurance. You can cancel your booking at any time subject to the following:
- If you cancel more than 30 days before the start of your holiday we will refund any payment already made, after deduction of a £5.00 cancellation fee. Refund will be by company cheque.
- If you cancel less than 30 days but more than 14 days before the start of your holiday we will refund 50% of any payment made, after deduction of a £5.00 cancellation fee. Refund will be by company cheque.
- If you cancel within 14 days of your stay, and we are not able to re-let the unit through our normal advertising channels, the deposit element of any booking (the greater of the price paid or £200) is non-refundable. Other fees paid in advance will be repaid as above, after deduction of the £5.00 cancellation fee. Any refund due will be by company cheque and will be made after the start date of your holiday, to enable us to re-let if possible.
- Rather than refund your fees we may be able to carry forwards a booking to a date later in the current season if you wish. This may result in a higher or lower charge where you move between season dates. An admin fee of £5.00 will be charged where we carry a booking forwards.
- Bookings may not be carried forwards beyond the current season
- Charges. Our normal rates are based on the hire of the unit itself, with a maximum of 4 guests per unit, (NB Bothey - 2 guests only) and with one vehicle. This rate includes all bedding and towels in the Bothey, Nith and Annan, and gas, water and electric charges as applicable in all units. Extra charges are made for additional vehicles and for pets, (maximum numbers apply - please check). Sleeping bags for the Wigwam can be hired - please ask for details.
- Discounts. We offer 7 nights for the price of 6 in all our letting units when booked and paid for in advance. We also offer a 10% 2sRUS discount in the Annan and Nith where the party consists of just 2 adults using the double bed only.
- Groups. You are required when booking and again at check in to inform us of any bookings being made for the same dates by any other guests associated with you. We can accept individual bookings for up to 2 associated parties. “Associated” in this context means any form of friendship or previous acquaintance as well as family members. Groups of more than 2 parties will be asked to leave the park. Single sex groups of more than 2 people and any groups under 25 will only be accepted with our prior written agreement - please check when booking.
- Smoking. All of our units are strictly non-smoking
- Pets. We have units specifically set aside for pets and can accept a maximum of 2 pets in the pet Annan and 1 pet in the Wigwam. Additional charges apply.
- Check in and security. We aim to have our letting units ready for you by 4pm and check in is normally between 4pm and 6pm on the day of arrival. We will however check you in as soon as the unit is available, so if you arrive before 4pm do please check to see if your unit is ready. Only the person named on the booking form may check in. Access to the letting unit will be denied where the person so named is not available to check in. Our contract is with that person and that person is responsible for the booking, for the behaviour of the party as a whole and for the repair or reinstatement of any damage occasioned to our property in the course of your stay. .
- Keys and deposits. At check in you will receive your accommodation key and also an electronic security fob. A deposit for the key and fob of £20 will be charged at booking and will be refunded when both are returned to us intact on departure. The fob will allow you access to the laundry and onto and off the park. The fob will not however enable you to use the pampering @ powfoot spa facilities. Reservations for the spa can be made by calling the office during office hours. Additional charges apply.
- Late arrivals. If you are likely to arrive after 6pm for whatever reason please let us know immediately. We employ a night caretaker on our park as well as an automated access system to the park and facilities. If you have not booked a late arrival slot and have not informed us of any delay, you will not be able to gain access onto the park, (and hence your unit) until the following morning. You can pre-book a late arrival slot - up to 9pm - and a charge of £25.00 will be made to cover overtime costs. No arrivals can be accepted after 9pm. If you have arrived after 6pm you may be asked to check in the following morning. In this case check in will be at the reception the next morning by 12 noon. A surcharge of £5.00 is made where a guest has not checked in by 12 noon.
- Check out. Check out is by 10am on the day of your departure. We can sometimes extend a departure time, but only if we have prior warning and there may be a charge involved depending on availability. The keys to the unit and the fob must be returned when you check out. If the office is closed please place the keys in the letter box alongside the Queensberry Bay office door. Any deposit refund that is due will be posted to you within 7 days.
Touring & Camping
- Bookings and deposits. We require a deposit of £20 to secure a touring pitch for any stay of less than 7 nights out of main season. We require payment in full for any stay in peak season or any stay of 7 nights or more at any time. Season dates vary - please ask for details.
- Minimum / maximum stay.Our maximum stay is strictly 14 nights - for longer stays please ask about availability of seasonal touring pitches. We have no minimum stay requirement for touring pitches.
- Cancellations. You can cancel your booking at any time and refund will be made subject to the following:
- If you cancel more than 14 days before the start of your stay we will refund any payment made, after deduction of a £5.00 cancellation fee. Refund will be by company cheque.
- If you cancel within 14 days of your stay, the deposit the deposit element of any booking is non-refundable. Other fees paid in advance will be repaid as above, after deduction of the £5.00 cancellation fee. Refund will be by company cheque.
- We can also carry forwards a booking to a date later in the current season if you wish. This may result in a higher or lower charge where you move between season dates. An admin fee of £5.00 will be charged where we carry a booking forwards.
- Bookings may not be carried forwards beyond the current season.
- Charges. Our normal nightly rates are based on a party of up to two adults staying in either a camper van, or in a tent or caravan (with one vehicle). Extra charges are made for additional vehicles (maximum numbers apply), for additional adults and for children, up to the number of berths in the unit - see also below - and for pets - see also below.
- Discounts. We offer 7 nights for the price of 6 on all touring pitches when booked and paid for in advance.
- Berths. We cannot accept a booking where the number in the party exceeds the recommended berths in the unit. In addition we cannot accept a booking for any unit (including tents) with more than 4 guests, regardless of size of unit - see also below..
- Length. We have a length restriction of 21 feet for touring caravans and 25 feet for camper vans. Tents on Shoreside or Fieldside pitches may not exceed 10 feet in width by 15 feet in length. Tents on non electric pitches may not exceed 12 x 12 feet.

- Awnings. We do not charge extra for awnings but we do require you to dismantle your awning if you are away overnight or in high winds.
- Arrival times. Your pitch will come free from 12 noon on the day of your arrival. Your pitch must be vacated by 12 noon on the day of your departure. A surcharge of £15.00 is made where you stay on your pitch beyond 12 noon without our prior knowledge and agreement.
- Check in and security.Our park office and reception closes at 5pm (7pm in peak season). We employ a night caretaker on our park as well as an automated access system to the park and facilities. Admission after the offices close is as follows:
- If you have pre-booked and paid in advance - - you will be able to gain access to the park up to 9pm. You will be asked your name and / or car registration details. The security guard will give you a keyfob that will allow you to use the toilet and shower block overnight.
- If you arrive on spec - you will be able to gain access up to 8pm only. The guard will take a £40 deposit for the pitch itself and for the keyfob. The guard cannot accept payment by cheque or credit card - so please ensure that you have cash available.
- In both cases you must check in at the reception between 9am and 12 noon the following morning. At this time we will make any adjustments to the pitch fee you have paid and re-set the access key fob as required. A surcharge of £5.00 is made where a guest has not checked in and paid by 12 noon. Unless it is extended on check in as above the keyfob will automatically switch off at 12 noon on the day after arrival.
- Deposits and refunds.Keyfob deposits will be refunded when the keyfob is returned intact at check out. Any amounts owed to the park will be deducted from this deposit
Terms & Conditions for both holidays
- Cycling. This is a great spot for cycling and we are on the SUSTRANS 7 cycle route. Please do however ensure that you and any of your party are acquainted with the Highway Code and aware of the dangers of cycling on and off the main highways.
- Tides. We are situated right on the shores of the Solway Firth and the tide can be treacherous. Please make a point of reviewing the tide times (on our Notice Board) and make sure that you are always within sight of the shore. Please ensure that no children in your party are allowed to wander away from the shore unsupervised.
- Behaviour. We operate a zero tolerance policy towards rowdiness, rudeness and aggression of any kind. By booking with us you are undertaking to adhere to our code of behaviour. In particular this means that you will respect the privacy and peace and quiet of your neighbour on the park and will take care not to damage in any way either our park or the wildlife surrounding us. We do not allow the use of firearms, weapons or illegal substances in any form. We reserve the right at all times to refuse entry to the park, or to remove from the park any guest or party whose behaviour has caused us, our staff or our other guests concern. Such notice will be verbal and you are required in this case to leave the park within one hour or such shorter time as we think fit in the circumstances.
- Children. We welcome well behaved children and parents onto our park, but there is little here for children to do, other than build sand castles and inspect rock pools. As a result we do not hold out our park as being suitable for anything other than the youngest of children - and then only with constant parent or guardian supervision. We have a strict code of behaviour for children of all ages - please see our notice board. In particular we do not allow children under 10 to use the park facilities (including the toilets and showers) unsupervised. In addition, for safety reasons, any child found wandering the park alone and away from his parents’ or guardian’s line of vision at any time will be returned to his base and the party will be asked to leave the park.
- Ball games and kite flying. Ball games and kite flying are only permitted in the football field or on the shore. We do not allow ball games or kite flying of any sort in or around the caravans as this may disturb your neighbour and / or damage their property.
- Pets. Well behaved pets and owners are welcome on our park. We do however require that you keep your pet under control, that you do not allow it to wander the park and that you clear up after it. Pets are not allowed in the Bothey and are only allowed in specific letting vans. We can accept a maximum of 1 pet in the Wigwam and 2 pets in the relevant lodge. We allow up to 2 pets in any unit on our touring pitches. Additional charges apply.
- Vehicles. We are unable to accept any workers’ vans on the park, with or without trade advertisement. We also are unable to accept any go-peds, mini mopeds, scooters, scramblers, quad bikes or other motorised, off-road, toy or farming vehicles.
- Noise. We require noise to be kept to a minimum, especially after 9pm. This includes shouting by children or adults, barking dogs, the playing of instruments, radios etc or general chatter that might disturb your neighbour.
- Fires and barbecues.We do not allow any fires whatsoever on the park. You may use a commercial disposable barbecue so long as you use it sensibly and dispose of it properly in the bins provided.
- Complaints. We take the running of our park very seriously and we want to hear from you if you have any comments, good or bad, or recommendations for improvements. We can only improve if we listen to what our guests actually want! If you have a complaint, please ask to see Wendy Stevens, who will take the matter forwards.
